Connecting your tools
Connect a business tool by tapping a link, company tools versus personal ones, disconnecting by text or on the website, and what disconnecting does.
Esta página todavía no está traducida. Te mostramos la versión en inglés.
The assistant can only work in tools you connect. You never send a password or key in the text thread.
Connecting
Section titled “Connecting”Ask for it by text (“connect QuickBooks”), or tap Connect on the Connections tab of your account dashboard. Members see only the personal tools there (HubSpot, Gmail, Outlook); company tools are connected by the owner or an admin. When you ask for something that needs a tool you haven’t connected, the assistant texts you the link on its own.
One-tap sign-in
Section titled “One-tap sign-in”Every tool we support connects this way: QuickBooks Online and Jobber today, and HubSpot, Pipedrive, DocuSign, CompanyCam, Gmail and Outlook once their apps are live.
- Tap the link. Links in texts are short (they look like
…/c/K7Q4M2XP) so they don’t break across lines. - Sign in on the tool’s own page and tap Allow.
- You’re sent back to Tack, and the assistant confirms in your thread.
We never see your password. The tool gives us access limited to the permissions listed on its page.
A connect link works once and expires after 15 minutes. If it’s expired, text “connect Jobber” again for a new one. It’s safe if your phone shows a link preview: that doesn’t use up the link.
Company tools and personal tools
Section titled “Company tools and personal tools”- Company tools (QuickBooks Online, Jobber, Pipedrive, DocuSign, CompanyCam, Follow Up Boss): the owner or an admin connects the tool once, and chooses who on the team can use it under Who can use it on the Connections tab. If a member asks for one that isn’t connected yet, the assistant tells them to ask the owner or an admin.
- Personal tools (HubSpot, Gmail, Outlook): each person connects their own account, and only they use it. The assistant acts as that person in the tool.
API key
Section titled “API key”A few tools may give you a key instead of a sign-in page. When one does, the assistant texts you a secure link to paste the key into; you never paste it into the text thread. Keys are encrypted as soon as they arrive.
Saved logins (coming soon)
Section titled “Saved logins (coming soon)”For tools without any way for apps to connect, the assistant will use the website in its own browser. You save the login on a secure page, approve each use from your texts, and finish two-step sign-ins yourself on a live view. See Saved logins and sign-in help.
Not on the list?
Section titled “Not on the list?”Tell us which tools you use. Text “do you work with ServiceTitan?” or add them on the dashboard; see Tell us which tools you use.
Disconnecting
Section titled “Disconnecting”By text
Section titled “By text”Text disconnect and the tool’s name: disconnect QuickBooks, disconnect HubSpot, disconnect Gmail, disconnect Outlook, disconnect Company Cam, disconnect FUB… In Spanish: desconecta QuickBooks.
The assistant asks first. Say yes (or “sí”) within 30 minutes to disconnect, or no to keep it. Anything else and nothing changes.
For DocuSign and Outlook, which don’t let apps remove their own access, the reply also includes the link where you remove Tack on their side.
On the website
Section titled “On the website”On the Connections tab, open Manage connection next to the tool and tap Disconnect.
Who can disconnect
Section titled “Who can disconnect”- Company tools (QuickBooks Online, Jobber, Pipedrive, DocuSign, CompanyCam, Follow Up Boss): the owner and admins, by text or on the website. If a member texts “disconnect QuickBooks”, the assistant says only the owner or an admin can.
- Personal tools (HubSpot, Gmail, Outlook): the person who connected it, by text or on the Connections tab. The owner and admins can also disconnect a teammate’s personal tool on the website.
What disconnecting does
Section titled “What disconnecting does”- The assistant stops working in that tool right away.
- We tell the tool to cut off our access where the tool lets us: Jobber removes the app from your account, Intuit revokes our access to QuickBooks, and HubSpot, Pipedrive, CompanyCam and Google revoke our tokens. DocuSign and Microsoft (Outlook) have no way for apps to do this, so also remove Tack in their settings; their pages have the steps.
- We delete our stored access and the copies we keep of names from that tool (like your client list, used to find the right customer).
- Anything the assistant already created stays in the tool. Jobs, clients, quotes and invoices aren’t touched.
If the tool doesn’t answer when we tell it, the assistant says so: our side is still disconnected, but remove the app in the tool’s settings too, to be safe.
After disconnecting, the assistant texts you a link to reconnect any time.
You can also disconnect from inside the tool. Each tool’s page has the steps.
What we ask for
Section titled “What we ask for”Each integration page lists the exact permissions requested and why. We ask for the fewest permissions that make the listed features work.
Can’t connect it yourself?
Section titled “Can’t connect it yourself?”Some tools need an admin or a specific plan, and finding the right setting can take a while. Email support@asktack.com to set up a short setup call and we’ll do it with you.
Supported tools
Section titled “Supported tools”Statuses: Available works today. Beta works with early users. Coming soon can’t be connected yet; the page describes how it works or what’s planned.
For the 21 additional planned integrations, see the setup checklist and configuration guides. They separate developer setup from customer authorization, explain write-access checks, and identify routes that still require vendor approval.
