Follow Up Boss

Look up contacts, add leads, notes, calls, texts, emails, tasks and tags, move contacts between stages, run action plans and reschedule appointments in Follow Up Boss by text between showings. An owner or admin connects it once for the team.

You text What happens in Follow Up Boss
“What stage is Elena Whitfield in?” Finds the contact and replies with their phone, email, stage and agent
“Add Jake Ramirez 512-555-0188 as a buyer lead, wants 3 bed in Round Rock under 450k” Creates the lead with what they’re looking for
“Note on the Hendersons: loved the Oak St house, want to see it again Saturday” Adds a note to the contact
“Called Maria Lopez, left a message” Logs the call and its outcome on the contact’s timeline
“Remind me to call Maria Lopez Tuesday at 10” Creates a task on the contact, due then, assigned to you
“Maria Lopez is under contract, mark her pending” Moves the contact to that stage
“Tag Maria Lopez pre-approved” Adds one or more tags to the contact
“Put Sarah on the buyer nurture plan” Puts the contact on that action plan, after you confirm (its emails and texts start going out)
“Pause the Hendersons’ action plan, they’re under contract” Pauses the plan so nothing more goes out from it
“What plans is Sarah Kim on?” Lists the contact’s action plans and whether each is running or paused
“Move the Henderson showing to Sunday at 3” Reschedules the appointment, keeping its length
“Cancel my listing appointment with Tom Becker” Takes it off your Follow Up Boss calendar, after you confirm
“Log a text to Maria Lopez: confirmed Saturday’s showing” Records the text on her timeline (nothing is sent)
“Jake Ramirez emailed me his pre-approval letter” Records the email as a note on his timeline (nothing is sent)

Most of this happens right away, and you get a short reply saying what was done. Starting an action plan and canceling an appointment ask first: a plan emails and texts the contact on its own schedule, and a canceled appointment comes off your calendar. Text undo within 10 minutes to take back the last new lead, note, task, stage change, tag, paused plan, rescheduled or canceled appointment, or logged email. Logged calls and texts can’t be undone by text; remove them in Follow Up Boss. Lookups don’t change anything. See Confirmations and undo for when the assistant asks first anyway.

The assistant doesn’t text or email your contacts itself. Logging a text or email only records one you already sent or got. Starting an action plan is the one exception: the plan’s own emails and texts go out on its schedule, which is why it asks first.

See the full list of what the assistant can do in Follow Up Boss, with example texts, the API call behind each action, and which ones ask first or can be undone.

  • A Follow Up Boss account.
  • The Tack owner or an admin connects Follow Up Boss. It’s a company connection that the owner or admin shares with the team.
  • The connection has exactly the access of the Follow Up Boss user who connects it. An agent’s connection only reaches the contacts assigned to that agent; a broker’s or owner’s connection reaches everyone in the account.
  1. Text “connect Follow Up Boss,” or tap Connect on the Connections tab of your account dashboard. The assistant texts you a secure link.
  2. Tap the link, then Continue to Follow Up Boss.
  3. Sign in to Follow Up Boss and approve access.
  4. You’re returned to Tack, and the assistant confirms in your thread.
  5. On Connections, choose who on your team can use Follow Up Boss under Who can use it.

Follow Up Boss doesn’t offer fine-grained permissions: the connection has the same access as the Follow Up Boss user who connected it. The assistant uses it for:

Access Why
People (read and write) Find contacts, add leads, update stages and add tags
Notes, calls and tasks (read and write) Log showings and calls, and set reminders
Users (read) Assign tasks to the right agent
Action plans (read and write) List plans, put contacts on them, pause and resume them
Appointments (read and write) Book, reschedule and cancel appointments
Text messages (write) Record texts you already exchanged with a contact

If API access is turned off for you, book a 15-minute setup call and invite your account owner.

  • By text (owners and admins): text disconnect Follow Up Boss (or disconnect FUB) and say yes when the assistant asks.
  • On the Tack website (owners and admins): go to Connections, open Manage connection next to Follow Up Boss and tap Disconnect. We delete the stored credentials.
  • An account owner can turn off a user’s API access in Follow Up Boss under Admin → Teams.

Contacts, notes, calls and tasks the assistant created stay in Follow Up Boss.

  • Everything happens as the Follow Up Boss user who connected it, so notes and calls show that person as the author.
  • Lead routing rules in Follow Up Boss still apply to leads the assistant creates.
  • Follow Up Boss doesn’t let apps take a contact off an action plan, so “take her off the plan” pauses it instead; a paused plan stays stopped.
  • Follow Up Boss has no way for apps to log an email, so logged emails are saved as notes titled “Email sent” or “Email received”.
  • A logged text shows on the timeline as a text when your Follow Up Boss user has a phone number set; otherwise it’s saved as a note.
  • Appointment changes never email an invite to the contact.
