AvailableAccounting

“Invoice the Patels $285 for the capacitor job” Creates a draft invoice for the customer
“Send it” Emails the invoice to the customer, after you confirm the recipient
“Who owes me money?” Lists unpaid invoices with amounts and days overdue
“Send Garcia a reminder on #1042” Emails invoice #1042 to the customer again, after you confirm
“Estimate for Lee: 40 ft of fence, $3,200” Creates a draft estimate
“Lee paid $3,200 by check” Records the payment against their open invoice, after you confirm
“Bill from Ferguson, $640 for parts” Enters the bill, after you confirm
“Garcia paid $300 cash for the drain cleaning” Records a sales receipt (a job paid on the spot, no invoice), after you confirm
A receipt photo plus “attach this to the Home Depot expense” Attaches the photo to that expense
“How did we do last month?” Replies with income, expenses and net profit for the month
“Who’s overdue and by how much?” Lists customers with past-due balances and how late they are
“Top customers this year” Lists your biggest customers by sales

Invoices and estimates are always created as drafts first, and you can text “undo” within 10 minutes to delete a draft, a sales receipt or an attachment you just added. Sending anything to a customer, recording payments and sales receipts, and entering bills always need your confirmation.

If the customer already has an invoice for the job, say so (“Garcia paid invoice 1042”) and the money goes on that invoice. A sales receipt is for work paid on the spot that was never invoiced; if the customer has an open invoice for the same amount, the assistant points it out before recording anything.

Attachments: send a photo (iPhone HEIC photos are converted to JPEG) or a PDF, up to 25 MB each, with what to attach it to. Reports are read-only and use your QuickBooks accounting method.

See the full list of what the assistant can do in QuickBooks Online, with example texts, the API call behind each action, and which ones ask first or can be undone.

  • A QuickBooks Online subscription. QuickBooks Desktop isn’t supported.
  • A US, Canadian, UK or Australian company.
  • To connect, you need to be a QuickBooks Online admin user. Intuit only lets admins connect and manage apps.
  1. Text “connect QuickBooks,” or tap Connect to QuickBooks on the website.
  2. Sign in with your Intuit account and pick the company to connect.
  3. Review the permissions and tap Connect.
  4. You’re returned to Tack, and the assistant confirms in your thread.
Permission Why
Accounting (read and write) Find customers and items, create invoices, estimates, sales receipts and bills, record payments, attach files, read balances and run reports

Intuit grants accounting access as a single permission (com.intuit.quickbooks.accounting). The assistant only acts on the requests you make, and every write is recorded in your audit log.

If you’re not a QuickBooks admin, or your accountant manages the company, book a 15-minute setup call and bring them along.

  • By text: text “disconnect QuickBooks” and say yes. See Connecting your tools.
  • On the Tack website: go to Connections and tap Disconnect next to QuickBooks.

Either way, we revoke our access with Intuit, and we delete our stored access and our copy of your customer list right away. If Intuit doesn’t confirm, the assistant tells you; then also disconnect it in QuickBooks as below.

  • From QuickBooks Online: go to Integrations, select Manage integrations, find Tack, select the ⋯ icon and then Disconnect. Answer the short questionnaire and select Disconnect again. If another admin connected Tack, they need to disconnect it, or you can use Change Admin first. Intuit then sends you to a Tack page that confirms it, and we delete our stored access.

Invoices and records already created stay in QuickBooks.

  • Only one QuickBooks company can be connected per Tack account. Connecting another replaces it.
  • Sales tax is calculated by QuickBooks using your company’s settings; check the preview before sending.
  • Products and services you name must already exist in QuickBooks. If the assistant can’t find a match, it asks rather than creating a new item.
  • Refunds, credit memos and voiding invoices aren’t supported by text yet. Do these in QuickBooks.
