HubSpot

Look up contacts and companies, log visits, create tasks and deals, and move deals through your pipeline in HubSpot by text. Each person connects their own HubSpot user.

This page is the setup guide for the Tack HubSpot app: how to install it, how to use it, and how to disconnect or uninstall it.

You text What happens in HubSpot
“What’s Elena Whitfield’s number?” Finds the contact and replies with their phone, email, company and title
“Is Lone Star Hardware in the CRM?” Finds the company and replies with its phone, website and location
“Add Elena Whitfield, purchasing at Acme Supply, 512-555-0142” Creates the contact and links them to the company
“Log my visit with Acme, they want 200 units” Logs the visit as a note on the company, contact and/or deal
“Note on Amy’s Birds: wants a quote for 3 cages in spring” Adds the note to that record (no visit or call is logged)
“Give the Garcia deal to Mike” Makes Mike the owner of the deal; works for contacts and companies too
A photo with “put this on the Garcia deal” Uploads the photo or file and attaches it to the deal, contact or company
“Follow up with Elena next Tuesday at 10” Creates a task due then, assigned to you
“New deal for Acme, $40k, closing end of November” Creates the deal with that amount, stage and close date
“Move the Acme deal to Proposal” Moves the deal to that pipeline stage, including Closed won or Closed lost

Everything on this list happens right away, and you get a short reply saying what was done. Text undo within 10 minutes to take back the last one: a new contact, note, task or deal is deleted, an attached file is removed, a deal stage moves back to where it was, and a record goes back to its previous owner. Lookups don’t change anything. See Confirmations and undo for when the assistant asks first anyway (for example, when it isn’t sure which deal you mean).

If a company you name isn’t in HubSpot yet, the new contact keeps the company name but isn’t linked to a company record.

See the full list of what the assistant can do in HubSpot, with example texts, the API call behind each action, and which ones ask first or can be undone.

  • A HubSpot account. The free CRM includes contacts, companies, deals, notes and tasks; some features depend on your HubSpot plan.
  • A Tack account. Any member of your Tack team can connect HubSpot for themselves.
  • Permission to install apps in HubSpot: you’re a Super Admin, you have the App Marketplace Access permission, or an admin approves Tack for you.
  1. Text “connect HubSpot.” The assistant texts you a secure link. (It also sends one on its own the first time you ask for something in HubSpot.)
  2. Tap the link, then Continue to HubSpot.
  3. Sign in to HubSpot and choose the account to connect.
  4. Review the permissions and approve the connection.
  5. You’re returned to Tack, and the assistant confirms in your thread.

You can also start from Connections in the account dashboard.

The link works once and expires after 15 minutes. If it expires, text “connect HubSpot” again.

If you aren’t allowed to install apps, HubSpot lets you request access and a Super Admin approves it. Admins can also approve Tack ahead of time in Settings → Integrations → Connected Apps.

Text the assistant the way you’d text a coworker, right after a visit or call. Some tips:

  • Name the customer the way it’s written in HubSpot, or close to it. If more than one record matches, the assistant asks which one.
  • Say the stage by name: “Proposal”, “Contract sent”, “Closed won”. Custom pipelines and stages work.
  • Dates can be casual: “Friday”, “next Tuesday at 10”, “Nov 3”. They use your time zone.
  • Ask in Spanish if you prefer. Names and notes stay exactly as you wrote them.
Permission Why
Contacts (crm.objects.contacts.read, crm.objects.contacts.write) Find people, add new contacts, and add notes and tasks (HubSpot covers notes and tasks with the contacts permission)
Companies (crm.objects.companies.read, crm.objects.companies.write) Find the right company and link contacts, notes and deals to it
Deals (crm.objects.deals.read, crm.objects.deals.write) Create deals and move them between stages
Owners (crm.objects.owners.read) Assign the notes and tasks it creates to you, and find the teammate when you hand a record over
Files (files) Upload the photos and files you text so they can be attached to a record (stored as private files)
Basic OAuth (oauth) Required by HubSpot for every app

Tack is a user-level app: it acts as you, with your own HubSpot permissions. If your HubSpot role can’t edit deals, neither can the assistant. HubSpot records the changes as made by you through Tack.

If your HubSpot admin restricts app installs, book a 15-minute setup call and invite them.

By text: text disconnect HubSpot and say yes when the assistant asks. We tell HubSpot to revoke the access we were given and delete our stored tokens.

On the Tack website: go to Connections, open Manage connection next to HubSpot and tap Disconnect. You can disconnect your own HubSpot; owners and admins can disconnect anyone’s.

In HubSpot (anyone): click the settings icon, go to Integrations → Connected Apps and uninstall Tack. Our next request is refused, and we mark the connection disconnected.

For the whole account (HubSpot admins): an admin can uninstall Tack for one user, or revoke its approval, which uninstalls it for everyone. HubSpot says uninstalls can take up to 30 minutes to take effect.

Contacts, notes, tasks and deals the assistant created stay in HubSpot.

  • Connections are per person, not per company. HubSpot’s marketplace rules require apps that connect HubSpot to AI to use user-level permissions, so each rep connects once.
  • Stage names need to be close to what’s in HubSpot (“Proposal” vs “Proposal sent”); the assistant asks if it’s unsure.
  • Emails to contacts, marketing emails, sequences, tickets and custom objects aren’t supported.
  • Attachments go up to 25 MB each, up to 10 per text. They land in a “Texted files” folder in HubSpot’s file manager and show on the record as a note with the files attached.
