Pipedrive

Look up people and organizations, add contacts, deals, notes and activities, move deals and check today's activities in Pipedrive by text. An owner or admin connects it once for the team.

AvailableCRM
You text What happens in Pipedrive
“What’s Elena Whitfield’s cell?” Finds the person and replies with their phone, email and organization
“What’s the address for Brazos Builders?” Finds the organization and replies with its address
“Add Elena Whitfield from Acme Supply, 512-555-0142” Creates the person and links them to the organization
“New deal for Acme, $40k, closing end of November” Creates the deal with that value, stage and expected close date
“Log my visit with Acme, they want 200 units” Adds a note to the deal, person and/or organization
“Remind me to call Elena Tuesday at 10” Schedules a call, meeting, task, email or deadline activity
“Move the Acme deal to Proposal made” Moves the deal to that stage
“Brazos Builders deal is won!” Marks the deal won (or lost)
“What’s on my plate today?” Lists open activities due today (or the day you name), plus how many are overdue
“Elena Whitfield’s new cell is 512-555-0101” Updates the person’s phone, email or name
“Add Shah Fabrication as an organization” Creates the organization, with its address if you give one
“Acme Supply moved to 2200 Industrial Blvd” Renames the organization or changes its address
“Elena Whitfield works at Acme Supply now” Links the person to that organization

“What deals do we have open with Acme?” Lists open deals for the organization or person (or yours), with value and stage
“What’s coming up with Brazos Builders?” Lists upcoming activities for the next week, yours or with that deal, person or organization
“New lead: Amy’s Birds, maybe 4.5k” Adds a lead to your Leads Inbox for that person or organization, with the value
“What leads do I have?” Lists your open leads (or a person’s or organization’s), with value
“Convert the Amy’s Birds lead to a deal” Turns the lead into a deal (in the stage you name, or the first one); its notes, files and activities move over
A photo with “put this on the Garcia deal” Uploads the photo or file to the deal, person or organization
“Add 3 XL cages at $120 each to the Garcia deal” Adds products from your catalog to the deal with quantity and price (the catalog price if you don’t give one)

Everything on this list happens right away, and you get a short reply saying what was done. Text undo within 10 minutes to take back the last one: a new person, organization, deal, lead, note, activity, attached file or deal product is deleted; a converted lead is turned back into a lead; a moved, won or lost deal goes back to its previous stage and status; an edited person, organization or deal gets its previous details back; a reassigned deal goes back to its owner; and a finished or rescheduled activity is reopened or moved back. Lookups don’t change anything. See Confirmations and undo for when the assistant asks first anyway.

See the full list of what the assistant can do in Pipedrive, with example texts, the API call behind each action, and which ones ask first or can be undone.

  • A Pipedrive account on any current plan. Pipedrive’s API is available on all of them, with higher usage limits on higher plans.
  • The Tack owner or an admin connects Pipedrive. It’s a company connection: one connection that the owner or admin shares with the team.
  1. Text “connect Pipedrive,” or tap Connect on the Connections tab of your account dashboard. The assistant texts you a secure link.
  2. Tap the link, then Continue to Pipedrive.
  3. Sign in to Pipedrive. If you belong to more than one Pipedrive company, make sure you’re in the one you want to connect.
  4. Review the permissions and approve the install.
  5. You’re returned to Tack, and the assistant confirms in your thread.
  6. On Connections, choose who on your team can use Pipedrive under Who can use it.

The link works once and expires after 15 minutes. If a member asks for Pipedrive before it’s connected, the assistant tells them the owner or an admin has to connect it.

Pipedrive asks you to approve these together:

Permission Why
Deals: full access (deals:full) Create and edit deals, move them between stages, mark them won or lost, change their owner, add notes, files and products to them
Leads: full access (leads:full) Add leads to your Leads Inbox, list them, and convert them to deals
Products: read only (products:read) Find a product in your catalog by name and read its price. The assistant never creates or edits products
Contacts: full access (contacts:full) Find, add and edit people and organizations, and add notes
Activities: full access (activities:full) Schedule, reschedule and finish calls, meetings and tasks, and list what’s due
Users: read only (users:read) Know which activities and deals are yours, and find a teammate to hand a deal to
Search (search:read) Find deals, people and organizations by name
Basic access (base) Required by Pipedrive for every app

“Full access” includes deleting. The assistant only deletes something to undo what it just created, when you text “undo”.

Book a 15-minute setup call and we’ll connect it with you.

  • On the Tack website (owners and admins): go to Connections, open Manage connection next to Pipedrive and tap Disconnect. We tell Pipedrive to uninstall the app and delete our stored tokens.
  • In Pipedrive: go to Tools and apps → Marketplace apps, click … next to Tack and choose Uninstall. Pipedrive tells us, and we disconnect on our side too.
  • By text (owners and admins): text disconnect Pipedrive and say yes when the assistant asks.

People, deals, notes and activities the assistant created stay in Pipedrive.

  • Everything happens as the Pipedrive user who connected it. Notes and activities show that person as the creator, and “what’s on my plate today?” lists that person’s activities, whoever on the team asks.
  • Stage names need to be close to what’s in Pipedrive; the assistant asks if it’s unsure.
  • Custom fields aren’t filled in from your texts.
  • A lead needs a person or organization that’s already in Pipedrive; add them first if they’re new.
  • Products have to exist in your catalog; a name that doesn’t match is reported, not created.
  • Attachments go up to 25 MB each, up to 10 per text, on one deal, person or organization.
