MaintainX

Close work orders with labor and parts, create work orders and requests from a photo, log meter readings and check part stock in MaintainX by text or voice note. Beta; needs a MaintainX Premium or Enterprise plan.

Beta. It works today and is still being tested with early users. Tell us in your thread if something looks wrong.

Made for maintenance technicians and supervisors who log work after the job: send a voice note or a text at your break, and the assistant fills in MaintainX. Voice notes are transcribed first, so spoken part numbers and times (“one six two oh five bearing”, “forty minutes”) come through as 6205 and 40 min.

You text What happens in MaintainX
đŸŽ€ “Conveyor 3 bearing is grinding, replaced it, took 40 min, used one 6205 bearing” Closes the open work order on Conveyor 3 with 40 minutes of labor and one 6205 bearing, which comes out of stock. The reply says how many are left.
“Check Conveyor 3 again in 30 days” Creates a preventive work order on Conveyor 3, due in 30 days
(photo) “Leak under press 4, request maintenance” Sends maintenance a work request with the photo attached
“Work order: forklift 2 brakes soft, high priority, assign Mike” Creates a high-priority work order on Forklift 2, assigned to Mike
“Update WO-1182: waiting on the bearing, back Tuesday” Posts the update on work order 1182
(photos) “Add these to WO-1182” Attaches the photos to work order 1182
“Forklift 2 is at 1520 hours” Logs a reading on Forklift 2’s hour meter and tells you the last one
“How many 6205 bearings do we have?” Tells you how many are in stock, the minimum and where they are
“What are my open work orders?” / “Anything overdue?” Lists your open (or overdue) work orders, soonest due first

Everything happens right away, and you get a short reply saying what was done. Text undo within 10 minutes to take back the last one:

  • A new work order or work request is deleted (with its photos).
  • A closed work order is reopened and its parts list put back. The labor entry stays, because MaintainX doesn’t let integrations delete time entries; the assistant leaves a note on the work order saying so.
  • Photos added to a work order are removed.
  • Updates (comments) and meter readings can’t be undone: MaintainX has no way for an integration to delete them.

Lookups don’t change anything. See Confirmations and undo for when the assistant asks first anyway.

See the full list of what the assistant can do in MaintainX, with example texts, the API call behind each action, and which ones ask first or can be undone.

  • A MaintainX Premium or Enterprise plan. MaintainX only includes API access on those plans (MaintainX API reference). On another plan, MaintainX refuses the key and the connect page says so. A Premium trial works for testing.
  • A MaintainX admin creates the API key. The key works as the person who created it, so it can only do what their MaintainX role allows.
  • The Tack owner or an admin pastes the key. It’s a company connection: one connection that the owner or admin shares with the team.
  1. In MaintainX, open Settings → Organization Settings → Integrations → API Keys and select + New Key.
  2. Name it (for example “Tack”). If Key usage is shown, choose REST API. Leave Allow this token to be used on all my organizations off.
  3. Select Generate Key and copy it. MaintainX shows it only once (MaintainX: generate an API key).
  4. In your thread, text “connect MaintainX”, or tap Connect on the Connections tab of your account dashboard. The assistant texts you a secure link.
  5. Open the link and paste the key. We check it with MaintainX before saving it, and it’s stored encrypted. It never goes in the text thread.
  6. The assistant reads your locations, machines, parts, people and meters so “Conveyor 3”, “the 6205 bearing” or “Mike” find the right record.
  7. On Connections, choose who on your team can use MaintainX under Who can use it.

The link works once and expires after 15 minutes. If a member asks for MaintainX before it’s connected, the assistant tells them the owner or an admin has to connect it.

If the connect page says the key was refused:

  • Your plan doesn’t include API access: the organization needs Premium or Enterprise.
  • The key works across several organizations: create a new key with “use on all my organizations” turned off, in the organization your team uses.
  • MaintainX didn’t accept the key: it was copied wrong or deleted. Create a new one.

“My open work orders” and “assign it to me” match you to a MaintainX user by the email on your Tack profile, then by your full name. If neither matches, the assistant asks who you are in MaintainX.

Book a 15-minute setup call and we’ll connect it with you.

  • On the Tack website (owners and admins): go to Connections, open Manage connection next to MaintainX and tap Disconnect. We delete the stored key right away.
  • By text (owners and admins): text disconnect MaintainX and say yes when the assistant asks.
  • In MaintainX: MaintainX has no way for an app to cancel its own key, so also delete the key in Settings → Integrations → API Keys. The assistant sends you that link when you disconnect. Once the key is deleted, the next request finds it gone and the connection is marked disconnected.

Work orders, requests, photos and readings the assistant created stay in MaintainX.

  • Everything happens as the MaintainX user who created the key, so new work orders and comments show that person as the creator.
  • MaintainX takes at most 10 readings a day on a manual meter through its API. Past that, the assistant tells you to enter it in the app.
  • MaintainX allows 100 requests a minute per key. A big batch of photos can hit it; the assistant retries.
  • Purchase orders, procedures and checklists, downtime, and approving or rejecting requests aren’t done by text yet.

Checked against the MaintainX API reference on October 25, 2026.
