Your weekly recap
The Friday picture of what the assistant got done for you that week, how to ask for it any time, and how to move it or turn it off.
Every Friday at 4pm (your time), the assistant texts you a short line and a picture card with what it got done for you that week: invoices and estimates, money billed and collected, new customers and contacts, jobs and appointments booked, documents sent for signature, notes, and about how much time that saved you. It’s made to be worth a screenshot.
Here’s your week: 23 tasks done, $4,250.00 billed, and about 3 h 15 min of your time saved.
Ask for it any time
Section titled “Ask for it any time”Text any of these and you get the same card right away:
how did this week go?
how was my week
my recap
In Spanish: ¿cómo me fue esta semana? or mi resumen semanal. Add “last week” (la semana pasada) for the week before.
Money questions are different: how did we do last month or what’s my profit this year get your profit and loss from QuickBooks. A week with no money word, or the word “recap”, gets the recap.
Move it or turn it off
Section titled “Move it or turn it off”send my recap on Mondays at 8am
recap at 5pm
stop the weekly recap
turn my recap back on
In Spanish: mándame el resumen los lunes a las 8, ya no me mandes el resumen semanal, activa el resumen semanal. You can also change it under Settings → Weekly recap in your account dashboard.
Which week it covers
Section titled “Which week it covers”- Friday, Saturday or Sunday: this week so far, from Monday.
- Monday to Thursday: last week, Monday to Sunday. So a Monday recap covers the week that just ended.
- When you ask: this week so far, or last week if you say so.
What counts
Section titled “What counts”Only things the assistant actually finished for you: the same tasks your usage counts. Anything undone, canceled or that failed isn’t counted. Rows with nothing in them are left off the card.
- Invoices & estimates: invoices, estimates, quotes and sales receipts it created.
- Billed: the total of the invoices and sales receipts that had an amount when they were made. An invoice built from a job’s own line items counts as an invoice, but its amount isn’t known to the recap.
- Payments recorded and Collected: payments it recorded, plus sales receipts (paid on the spot).
- Customers & contacts added: new customers, clients, contacts, leads, companies and accounts.
- Jobs & appointments booked: jobs, appointments, calendar events, invites and work orders.
- Sent for signature: DocuSign envelopes sent.
- Notes: notes, logged calls, visits and meetings, and daily-log entries.
A week with fewer than three tasks gets no Friday recap. If you ask, you get a one-line answer instead.
Time saved
Section titled “Time saved”The time saved is an estimate: a fixed number of minutes for each kind of task, for what it takes to do the same thing in the tool’s own app.
| Task | Minutes |
|---|---|
| Invoice, estimate, quote or sales receipt | 6 |
| Signature request | 5 |
| Job, appointment or calendar event | 4 |
| Payment | 3 |
| New customer, contact or lead | 3 |
| Note or logged call/visit | 2 |
| Anything else that changes something (sending, updating, tasks, photos) | 2 |
| A lookup or report | 1 |
Owners with a crew
Section titled “Owners with a crew”If you’re the account owner and your crew uses the assistant too, the recap adds one line with the whole crew’s tasks and time saved. Crew members only ever see their own numbers.
Cards off?
Section titled “Cards off?”If you turned picture cards off (stop sending cards, see Picture cards), the recap comes as a short list instead, with the same numbers.
